TITLE FILE: OVERVIEW

There exists a Title File that is accessible via “Application Functions”, then “Title”. By selecting your school and department, you can view all of the courses that have ever been taught. In short, this should be a comprehensive title file. You can use the Title file to see what course numbers have been used over the years. You can print out this Title file information from the Title report option found under the WUCRSL Application Functions “Other Report” option. The use of special symbols and characters (other than parentheses, quotation marks, commas, colons, and ampersands) should be avoided when entering titles.

For non-privileged regular users, the information in the title file is generally considered “display/view only”. One of the viewable fields that is populated automatically based on course history is the “Last Offered” semester. Here you can see the most current or previous semester a particular course was offered.

However, there are two fields which are editable by departmental users.

  1. The “Frequency” offered field, is used to indicate how often the department plans on offering the course. It is extremely important to keep this field updated as students use the frequency data to plan coursework.
  2. The “Exclude from Publications” fields, are used to remove a course from the web and various publication printouts. These two fields are also accessible from the course’s curriculum screen as well…and that is where you’ll typically want to work from.

SIS SHORT TITLE

The SIS Short Title is a key, required field needed in every course record. The SIS Short is used for old transcripts prior to WUCRSL’s birth in 1995. The use of this field IS still required by WUCRSL.

This field holds a maximum of 40 characters; therefore abbreviated terminology is often needed. This field is normally NOT to be changed. To retain SIS data integrity, the course number and SIS Short Title must always remain the same once established. You must commit to a title (that will remain the SIS Short Title) as long as the course is offered. Titles in this field must be in all uppercase letters, therefore, the system won’t let you enter anything BUT caps (so you don’t have to remember to do this).

TITLE

This Title field, unlike the SIS Short Title, can be full length and may be easily modified. The purpose of this Title field is to provide room to spell out words which must be abbreviated in the SIS title; the Title field holds a maximum of 100 characters. This title will be viewable from various places on the web or on printouts. The Title field houses the title used for courses listed in the Bulletin publication. This full title should be in upper and lowercase (for Bulletin publication standards).

STANDARD TITLE

The Standard Title is a new field added to WUCRSL in July 2005. The Standard Title was added to WUCRSL for future enhancement and currently has no value. At this point, you may choose to leave the Standard Title field blank or populate it with the same information provided in the Title field. This field holds a maximum of 100 characters and should be entered using upper and lowercase letters.

RELATIONSHIP BETWEEN TITLE FIELDS

All title fields should nearly identical in meaning in order to make sure no one is misled when seeing one or the other version being printed out or displayed somewhere on the web or computer system.
